2. Legal Framework
We process personal data in accordance with applicable data protection legislation, including:

- •Pages visited, time spent on pages, referring URLs, and navigation paths

Information from third parties:
- •Publicly available hotel and property data from industry platforms
- •Information provided by referral partners with your knowledge
3a. Guest Booking Data (Booking Engine)
When you book a stay through a hotel that uses our booking engine, we process the following categories of personal data on behalf of that hotel:
- •Identification and contact details: full name, email address, phone number, and country of residence
- •Reservation details: stay dates, room and rate selection, number of guests, extras, and any special requests you provide
- •Payment details: processed directly by Stripe under PCI-DSS SAQ A. Rockenue does not see, store, or transmit raw card numbers; only a tokenised reference and the transaction outcome are returned to us
- •Communication records: booking confirmations, modifications, cancellations, and payment receipts sent on the hotel's behalf
Controller and processor roles
For guest reservation data, the hotel is the data controller and Rockenue acts as a data processor, processing personal data solely on the hotel's documented instructions under a data processing agreement. For data you submit directly to us through rockenue.com (for example, the contact or management application forms), Rockenue remains the controller as described in Section 1.
Sub-processors and recipients
- •The hotel's Cloudbeds property management system, into which your reservation is written so the hotel can manage your stay
- •Stripe Connect, which processes your payment and settles funds directly to the hotel
- •SendGrid, which delivers transactional emails (confirmation, modification, cancellation, and receipt messages) on the hotel's behalf
- •Cloud hosting and infrastructure providers used to operate the booking engine, bound by contractual confidentiality and data protection obligations
Retention
Guest booking data is retained for the duration of your stay plus seven years to meet the hotel's accounting, tax, and regulatory obligations, after which it is securely deleted or anonymised. The hotel may apply a different retention period in its own privacy notice; where it does, the hotel's notice governs your reservation record.
Your rights
Because the hotel is the controller of your reservation data, requests to access, correct, or delete that data should be directed to the hotel in the first instance. If you contact us directly at info@rockenue.com, we will forward your request to the relevant hotel and assist them in responding.
4. Lawful Basis for Processing
We process your personal data on the following legal bases:
- •Contract performance: To evaluate your management application, respond to enquiries, and deliver services where we have an agreement with you
- •Legitimate interests: To improve our website and services, conduct internal analytics, and manage our business operations, provided these interests are not overridden by your rights
- •Legal obligation: To comply with applicable laws, regulations, and lawful requests from public authorities
- •Consent: Where you have given explicit consent, such as for marketing communications or non-essential cookies. You may withdraw consent at any time by contacting us
5. How We Use Your Information

Rockenue is based in the United Arab Emirates and our primary data processing occurs within the UAE. Where we process data of individuals located in the United Kingdom or European Economic Area, we ensure that appropriate safeguards are in place for any transfers of personal data outside these jurisdictions, including:
- •Standard Contractual Clauses (SCCs) approved by the European Commission or the UK Information Commissioner's Office

8. Data Retention

- •Client data: For the duration of the service relationship plus 7 years to meet legal and accounting obligations
- •Website analytics data: 26 months from the date of collection
- •Marketing communications data: Until you withdraw consent or unsubscribe
At the end of the applicable retention period, personal data is securely deleted or anonymised.

10. Automated Decision-Making
We do not currently use automated decision-making or profiling that produces legal effects or similarly significant effects on individuals. If this changes, we will update this policy and provide appropriate notice and safeguards.
11. Children's Data
Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a child, please contact us and we will take steps to delete it promptly.
12. Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, loss, or destruction. These measures include encryption of data in transit, access controls, regular security assessments, and secure data storage practices.
